How we work

Our process & how billing works.

From first call to deployed solution: how we scope, build, and bill — with no surprises.

Engagement

Two phases. Six steps.

Every engagement moves through the same structured flow. You always know what's coming next.

PHASE 01

Discovery

…or as we call it, sharpening our pencils.

Gather and Assess

  • Collaborate to identify your challenges, goals, and existing systems.
  • Conduct consultations, system reviews, and outline key business needs.

Gaps and Engineering

  • Develop a roadmap for the solution.
  • Depending on complexity, this may involve a gap analysis to refine requirements, or a retainer / small agreement to cover initial engineering effort.
  • Deliver clear documentation and estimates to guide the next steps.

Demonstrate Capability

  • For complex projects, we build a Minimum Viable Product (MVP) or Proof of Concept (POC).
  • Tangible demonstrations of feasibility and impact before committing to a full build.
PHASE 02

Delivery

…well, now we're writing code.

Implementation and Testing

  • Design, develop, and deploy the solution into your existing systems and processes.
  • Thorough testing guarantees reliability and alignment with your goals.

Training and Enablement

  • Empower your team with the tools and knowledge to maximize the solution's value.
  • Tailored training sessions and detailed documentation for ongoing support.

Support and Improvement

  • Ongoing support via email or phone (as outlined in your SLA).
  • Enhancements, feature additions, and system reviews as needs evolve.
  • We continue partnering with you long after deployment.
Billing

How billing works.

Our transparent billing framework outlines three approaches tailored to different types of work, along with clear guidelines on billable and non-billable activities. This guide helps you understand exactly what to expect when working with us.

Time-Based

Evolving or unknown requirements · Ongoing requests · Out-of-scope changes · Maintenance updates.

  • Billed on actual time spent
  • Best-effort estimates available on request

Fixed

Well-defined requirements · Clear project scope · Fixed deliverables · Configuration of Rubi SaaS products.

  • Billed on quoted time / effort spent
  • May combine with Time-Based for variable work

Recurring

Rubi SaaS products · Custom integration hosting · Data warehouse hosting · Automation solution hosting.

  • Hosting, monitoring, and support
  • In-scope bug fixes included
FAQ

Common questions.

When we don't bill

On the house.

  • Initial scoping of smaller projects (no engineering required)
  • Demonstrating existing products or pitching ideas
  • Proactive work without prior authorization (unless there's an agreed arrangement for proactive work)
  • Fixing errors or bugs that are in scope of a previous project
  • Administrative meetings and routine non-working status calls
When we bill

On the clock.

  • Gap analysis
  • Engineering work for projects or proofs of concept (may be waived based on project and reusability)
  • Research and insight requests
  • Creating or providing documentation
  • Solution updates required due to 3rd-party changes (APIs / services)
  • Problem-solving meetings
  • Configuring environments and setting up workspaces to provide services
