As Operations Administrator at Rubi Works, you will be managing our financial and administrative operations. Your role will encompass handling day-to-day bookkeeping, overseeing bank accounts, billing clients, resolving billing issues, processing payroll, and ensuring smooth administrative functions. You will leverage ERP systems, AR automation tools, and payroll PEO/EOR solutions to maintain operational efficiency and accuracy.

Key Responsibilities

Bookkeeping and Financial Management

  • Maintain accurate and up-to-date financial records.
  • Reconcile bank accounts and manage transactions.
  • Prepare and manage accounts payable and receivable.
  • Track expenses and generate financial reports as needed.

Client Billing and Accounts Receivable

  • Prepare and issue client invoices.
  • Monitor and follow up on outstanding payments.
  • Resolve billing discrepancies and provide excellent client support.
  • Collaborate with the team to manage AR automation solutions.

Payroll and Compliance

  • Process employee payroll using PEO/EOR platforms.
  • Ensure compliance with local, state, and federal regulations.
  • Maintain accurate payroll records and manage employee benefits administration.

Administrative Operations

  • Oversee general administrative tasks to ensure smooth daily operations.
  • Manage vendor relationships and service agreements.
  • Support the implementation and optimization of ERP systems.
  • Handle sensitive and confidential information with discretion.
Skills and Experience
Technical Skills
  • Proficiency in accounting software and ERP systems.
  • Experience with AR automation tools (e.g., Invoiced.com) and payroll platforms.
  • Strong knowledge of Microsoft Office Suite, particularly Excel.

Qualifications

  • 3+ years of experience in bookkeeping, financial management, or a related field.
  • Familiarity with PEO/EOR solutions is a significant advantage.
  • Strong understanding of general accounting principles and payroll practices.

Soft Skills

  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy in financial reporting.
  • Ability to communicate effectively with clients and team members.
  • Self-motivated and capable of managing tasks independently.
Join Our Team

Location: This is a remote position, but candidates must reside in Serbia or Montenegro.

Working Hours: Core USA business hours with flexibility. If required, be ready to work from 11 am until 7 pm CEST (Monday - Friday) to support US daytime hours. For most of the time, schedule management is at your discretion but aligned with client meeting requirements.

Compensation / Training:
  • Competitive salary aligned to Serbian or Montenegrin market standards.
  • The initial 3-month period will be contract-based. Upon successfully completing the probationary period, employment will transition to full-time through a local PEO/EOR arrangement. Health insurance, additional benefits, and growth opportunities available after a 3-month probation period.
  • Ability to participate in revenue sharing for reusable solutions built while at Rubi Works, depending on the scope and agreement.
