Home care hiring runs in JazzHR. The caregiver lives in AlayaCare.

Home care agencies have a split personality when it comes to recruitment. AlayaCare has a built-in Applicant Tracking Solution, and for agencies already using it, that may be enough. But many mid-size agencies prefer a dedicated ATS like JazzHR for deeper recruitment workflows — job board distribution, multi-stage screening, structured interviews, offer management, and onboarding paperwork. Regardless of where the hiring happens, the operating side runs in AlayaCare (or Axxess, MatrixCare, etc.), where that same person exists as a caregiver with a schedule, a credentials file, a client list, and a payroll record.

Between the "hired in JazzHR" and "active in AlayaCare" states, a small team of coordinators spends hours re-keying demographic data, copying background-check results, uploading certifications twice, and chasing down the paperwork that didn't make it across. It's one of the highest-friction processes in home care operations, and it happens every time you hire someone.

A typical 100-caregiver agency hires 20-40 people per year. At 90 minutes of manual re-entry per hire, that's 30-60 hours a year of pure copy-paste work — enough to delay starts, frustrate new hires, and slow down revenue from billable visits.

When a candidate reaches "Hired" status in JazzHR, the integration automatically creates their caregiver record in AlayaCare with demographic data, documents, credentials, and role assignments already populated. The coordinator's next action isn't re-typing — it's assigning the new caregiver's first visit.

What flows across.

  • Demographic data — name, phone, email, address, emergency contact, SSN, date of birth — everything the candidate entered in JazzHR during application and onboarding
  • Uploaded documents — resume, background check, driver's license, TB test results, proof of credentials, direct deposit form, I-9, W-4
  • Role and branch assignment — maps JazzHR job requisitions to AlayaCare branches, service lines, and employee roles
  • Credentials and skills — CNA, HHA, RN, BLS, CPR certifications and their expiry dates flow into AlayaCare's skill/credential tracking
  • Custom fields — any agency-specific fields you've added to your JazzHR application (years of experience, preferred shifts, language fluency) map to matching AlayaCare fields

One-way or two-way — your choice.

One-way (JazzHR → AlayaCare) The common case. JazzHR is the hiring source-of-truth. Once hired, the record is pushed to AlayaCare. Subsequent updates to the caregiver (schedule, new credentials, terminations) happen in AlayaCare and JazzHR isn't touched.
Two-way sync For active talent pipelines. Status changes in either system propagate to the other — useful when the same candidate may be re-hired, or when you want terminations in AlayaCare to archive the JazzHR record automatically.
Document sync direction Configurable independently of the main data direction — some agencies want documents to live in JazzHR permanently, others want AlayaCare as the authoritative file store.
Trigger condition Usually "candidate moved to Hired status," but can be customized — e.g. "candidate signed offer letter" or "candidate cleared background check" depending on your onboarding flow.

The integration pattern is the same regardless of the downstream clinical platform. We've deployed JazzHR integrations with AlayaCare, Axxess, and a handful of other home care systems. If your clinical platform has an API (or a reasonable import format), we can wire JazzHR to it.

Frequently asked questions.

What happens if a candidate is hired but fails the background check?

You configure the trigger to fire only after background check completion. Until then, the JazzHR record exists but doesn't sync. No ghost caregivers in AlayaCare for people who never actually joined.

Can we pilot with a single branch first?

Yes. The integration supports filtering by JazzHR job requisition or location, so you can run it for one branch for a month before expanding to the full organization. Every agency we work with does exactly that.

What about existing caregivers — will it duplicate them?

No. The sync logic checks for existing AlayaCare records by email, phone, or custom ID and updates instead of creates. Duplicate detection is defensive by default.

How long does deployment take?

Standard deployment is 2-3 weeks from kickoff to first live hire flowing through. Most of the time is spent mapping your JazzHR custom fields to the right AlayaCare fields; the integration plumbing itself is fast.
